We are so excited you are interested in being an exhibitor for the 2024 Spokane Pride Festival.

Please read through the following guidelines for participating in this year’s festival. Your help in meeting each agreement makes our Pride Festival possible.

Festival Coordinators
Spokane Pride Festival Coordinators will be onsite for your safety and to expedite your set-up and teardown. Festival coordinators will also be in communication with from registration to the day of the festival. Each coordinator will provide assistance and maintain compliance with Spokane Parks protocol and procedures.

EXHIBITOR TERMS AND CONDITIONS

Payment: Full payment must accompany your completed application for consideration. Incomplete applications will not be processed. We accept all major debit and credit cards, ACH, and check by mail. Receipt of your completed application and payment will be confirmed via email. Spokane Pride can’t assign booths for orders paid by checks/money order until payment has been received and processed. Please contact us at register@spokanepride.org should you need a physical invoice prepared.

NOTE: Please respond yes to the question about any W9 or Invoices required.

Limited Availability: Spokane Pride Festival is a limited-space event with increased demand this year. Exhibitor applications will be processed in the order payment is received.

Deadlines: Completed Applications, with payment in full must be received by 11:59 PM PST on May 7, 2024 TO BE INCLUDED IN PRINTED AND DIGITAL MATERIALS.

Insurance: All Vendors must obtain and send us a certificate of insurance with Outspokane DBA Spokane Pride listed as additionally insured to participate in the festival and/or parade. General Liability Insurance: equal to or greater than $1,000,000 occurrence/$2,000,000 aggregate, Auto Liability Insurance: Scheduled Auto or Hired and Non-owned, equal to or greater than $1,000,000 csl, Workers Compensation / Stop Gap: $1,000,000. If you do not have insurance a daily waiver can be purchased, please contact us with questions (matthew@spokanepride.org)


Refunds: We understand life happens. Please contact us as soon as possible if you must cancel. Requests for booth fee refunds must be made in writing via email to register@spokanepride.org and will be considered on a case-by-case basis.

Application Confirmation: This year we have implemented a new registration and payment platform, Zeffy. The system will provide an automated email confirmation once payment is successful. If you do not immediately receive the confirmation, please check your Spam folder.

Check-In: Check-In timeframes (between 7am to 10am) will be assigned to all vendors once finalized. Exhibitors that are not checked in by the end of load in are not guaranteed accommodation. Absolutely NO FEES will be refunded for exhibitors arriving after the deadline and/or for "no shows". Tentative set-up times may be available on Friday, June 7, 2024. Additional information will be provided closer to the event date. SPOKANE PRIDE DOES NOT PROVIDE ANY CARTS, VOLUNTEERS OR OTHER ASSISTANCE FOR EXHIBITOR CHECK-IN OR CHECK-OUT.

Load-In: Vehicles will be permitted to enter the Riverfront Park Pavilion grounds on Saturday, June 8, 2024 during determined load in timeframe for unloading only. Vehicles must be moved immediately after unloading and prior to 9am. After 9am, please be prepared to carry in/out all materials from the parking area. Assistance with carry in/out is NOT provided. PLEASE NOTE THAT SOME EXHIBITOR LOCATIONS ARE LOCATED IN GRASSY AREAS. PLAN LOADING NEEDS ACCORDINGLY. Vehicles will not be allowed onto the park grounds until it is safe to do so after the close of the festival (6pm) on Saturday June 8, 2024.

Check-Out: All exhibitors must check out with a Spokane Pride Festival Coordinator prior to leaving. Exhibitors agree not to check out prior to the end of the festival on Saturday June 8, 2022. All vendor equipment and personal items must be removed by 9pm on Saturday, June 10th.

Strolling: Exhibitors may conduct business only inside and immediately in front of their rented space. No exhibitors may conduct business "strolling" through the festival grounds. Any exhibitors found in violation of this policy may be subject to immediate removal from the festival with NO refund of exhibitor fees.

Non-Discrimination: Exhibitors agree not to discriminate against any individual based on sexual orientation, gender, race, color, physical limitations, or heritage. Spokane Pride reserves the right to require any exhibitor to remove from display and immediately cease selling or distributing any item that could be deemed inappropriate and/or might cause a disturbance. Sexist, racist, homophobic, or other offensive materials will not be permitted. Any exhibitor found in violation of this policy may be subject to immediate removal from the festival with NO refund of exhibitor fees.

Confrontation of Protesters/Suspicious Behavior: Engaging with protesters at any point of the parade or festival is strictly prohibited. We kindly ask you to limit interactions with persons who cause distractions to disrupt the Pride parade and/or festival. Please report any unwelcome behavior to a Festival Coordinator immediately.

Damage:  Exhibitors are solely responsible for any damages caused during load in/out or while the event is in progress.

Laws: All exhibitors must follow the laws and regulations of the Government of Spokane. On the day of the festival, all participants must follow guidance and instructions given by festival coordinators and official personnel.

Securing Your Tent: Some booths may be placed in grassy areas. No stakes may be used to secure your tent into the ground. Please use alternative means to safely secure your tent (i.e., the use of sandbags or water bottles as weights).

Parking: Exhibitors must park their vehicles in the public parking area immediately after unloading. No vehicles may block designated fire lanes or be parked in otherwise restricted areas. ILLEGALLY PARKED VEHICLES WILL BE IMMEDIATELY TOWED AT THE OWNER'S EXPENSE.

Security: Spokane Pride provides limited overnight security and assumes no liability for property or equipment left on festival grounds. Exhibitors may leave items in their space overnight, but Spokane Pride accepts no responsibility for the security of said items. Cover all materials. Items may be affected by weather.

Emergency Medical Services: Spokane Pride plans to have emergency medical services provided onsite by American Medical Response/ or other private EMS service. The medical tent will be near the information tent. The exact location will be provided in the festival exhibitor packet provided closer to the event.

Firearms: All weapons and firearms (loaded or unloaded) whether concealed or exposed are strictly prohibited from the festival grounds.

Noise: As a courtesy to other exhibitors, please keep amplified sound from your booth at a reasonable level. Excessive sound will be limited by the Spokane Pride Festival Coordinators.

Generators: The use of generators is strictly prohibited (excluding food trucks). If power is needed, please contact Spokane Pride at register@spokanepride.org with details about the request. Power may be an additional fee.

Animals/Petting Zoos: Pets are allowed on the festival grounds. Pets must be well-behaved and always leashed. Petting Zoos must provide appropriate fencing and barriers for each respective animal. Spokane Pride does not take responsibility for any damage.

NOTE: Proof of insurance is required for any festival exhibitors with livestock.

Sale of Food/Beverage: ONLY designated food vendors can offer food and beverages for sale.

Disaster: Exhibitors understands that Spokane Pride has no control over weather, acts of God, acts of terrorism, or governmental intervention, or any other cause that may prevent and or interrupt, the festival, and participants shall not hold Spokane Pride accountable for any losses that could arise because such event.

Placement: Spokane pride reserves the right to place exhibitors in booth locations. If you have specific requests please reach out via email, register@spokanepride.org as soon as possible so we can attempt to accommodate your request.

Trash: Upon vacating, the exhibitor will ensure that such space is free of trash and debris. Failure of the exhibitor to clean their space may result in future refusal of exhibitor applications. 

NOTICE OF REJECTED APPLICATION: Spokane Pride reserves the right to cancel any application. The board will review any questionable applications and make the decision accordingly. If application is rejected, the full payment will be refunded via check. 


Sustainability

Exhibitors and participating organizations are encouraged to consider their booths environmental impact as they plan for the festival. When possible, avoid distributing single-use plastic products like individually wrapped items, disposable water bottles, or balloons and beads. Alternative products can fulfill the same purposes. Consider branding items like reusable water bottles, reusable straws, plant seed packs, drink coasters, towels or sweatbands, eco-tube lip balm, etc. 


Accessibility

Exhibitors are encouraged to consider how they will make their booths accessible to all members of the community. Consider how your space is arranged, the merchandise and promotional materials your organization is distributing, and how you will communicate with individuals of varying backgrounds.


Sign Language interpreting services: Sign Language Interpreters are available to interpret between you and Deaf or Hard of Hearing individuals as needed. Sign Language Interpreters will be stationed at the Information Tent and can be requested by any Spokane Festival Coordinator. When submitting your request please include: your assigned vendor location (space number) , your organization's name, and the name of the person who is requesting services. We may have limited interpreters available however our goal is to have them available within 10 minutes. 


Physical access to your booth(s): If you have an activity or game at your station, please consider how you can include individuals with disabilities should they request to participate. If you have any wires or other tripping hazards, please be sure to cover them to avoid tripping and for ease of navigation. 


Spokane Pride will provide the following to each 10’x10’ exhibitor booth: 

  • Informational Packet with location and assignments one week prior to event.

  • Festival Packet with information the day of the event.

Spokane Pride will provide the following to each 10’x20’ exhibitor booth:

  • Informational Packet with location and assignments one week prior to event.

  • Festival Packet with information the day of the event.

Spokane Pride DOES NOT PROVIDE the following: 

  • Tables and chairs available for a fee

  • Tent 

  • Items to secure tent

  • Additional items for decor

  • Power


Qualified Vendor form- Deadline 5/21/2024

All Exhibitors must agree to comply with Qualified Vendor Program and complete the Qualified Vendor Form. Spokane Pride is not responsible for any transactions or business conducted at Spokane Pride sanctioned events.
